Scenario: Global Business Bikes Inc has decided to manage its Information and communications technology (ICT) services by creating a new department/cost centre named ‘T###’ within the US### group. This is in addition to 3 cost centres you have created earlier – Finance (F###), Human resources (H###) and Marketing (M###). You have engaged an outside contractor (a vendor) to supply these ICT services. You have received an invoice for $16000 towards the services rendered by this vendor for the current month. These costs will be first charged to ICT services cost centre/department (T###) and then allocated to other cost centres in the US### group using appropriate allocation technique and tracing factor without losing its identity in the receiving cost objects’ costs list. It is decided to allocate these costs in proportion to the total volume of ‘usage’ measured in data units (DU###). For the current month, the data units consumed by each of the departments in your US### cost centre group are as follows: Finance = 30, Marketing = 25, Human Resources = 35; ICT Services = 10 units. Use appropriate allocation technique to allocate these costs from your ICT Services (T###) cost centre to those departments/cost centres. In addition, this ICT Services (T###) cost centre has provided 30, 40 and 20 hours of maintenance service (MS###) to the Finance, Marketing and Personnel departments respectively in the current month from a total planned activity of 1200 hours in this financial year at a service rate of $120 per hour. Further, you have also incurred actual labour costs of $32,000 and actual miscellaneous expenses of $12,000 for your T### cost centre in the current month. The planned costs for your cost centre (T###) per month are $30,000 towards labour (salaries) (700###) and $10,000 towards miscellaneous expenses (780###). You should produce appropriate cost centre/group performance report for the current period for your cost centre group (US###) and ICT services cost centre showing the costs allocated to various cost centres, actual costs, planned costs and variances. Requirements/deliverables: 1. Based on the scenario explained above, you must first decide the cost allocation techniques necessary, which master data (General Ledger Accounts, Vendors, Cost elements, Cost centres, Activity types and Statistical Key Figures) and which transactions are required to complete allocations and produce the required report. Please do not simply repeat the exercises. Use your judgement and understanding of the accounting processes, and then decide which of them are necessary and relevant in order to perform relevant and required transactions. 2. You should then create relevant master data elements in the system (Server G22, client 160 using your assigned SAP User name GBI-###). You must use the following specific account numbers for creating master data and performing transactions. Please note you don’t need all the accounts listed in the table below. In case, you made a mistake in the first one, you can either correct them or create a second one using the number given in the table below. Failing to use the assigned account numbers will attract heavy penalties.3. For each item, there are several field value codes given. For example, if you want to create more than two cost elements or if you make a mistake in the first one, use the numbers shown in the table above. It is convenient and efficient to create new ones rather than fixing the mistakes. 4. You must capture the evidence of the transactions/cycles you have performed with appropriate and relevant screen shots onto a word document and make them visible with appropriate headings for each screen. 5. You must create new master data for this assignment using the field values given in the table below and each must have your account number at the end for every master data element for identification purposes (and your name in the long text). If you use incorrect user account number, it will not be considered as your work and no credit will be given (Zero marks).
